Visitors at a busy exhibition stand joining a demo queue from their phones

Use case · Exhibitions

Virtual queue for exhibitions and trade shows

Visitors scan their badge or a QR code to join demo pods, book meetings with experts and take a workshop seat, then keep walking the show until you call them.

The problem

The queuing problem on an exhibition stand

Exhibition stands have little room and a lot of passing traffic. A popular demo or VR experience draws a crowd that spills into the aisle, neighbouring stands complain, and visitors who can't see how long the wait is keep walking. Meetings with your experts are often arranged on paper or from memory, and workshops fill unevenly.

Most stands also measure the show in leads, yet the leads from a busy day are often a pile of scanned badges with no record of who actually saw a demo or met an expert.

How Cue runs it

How Cue runs an exhibition stand

Our Innovation Expo Stand demo uses a mix of set-ups on one stand:

  • Badge scan or form to join: visitors scan their badge to join with their name and company, or fill in a short form.
  • Queue for the Product Demo Pods and the VR Experience, with group sizes and a health declaration before VR.
  • Hybrid for Meet an Expert: visitors book a meeting time or join the walk-in line.
  • Time slots with seat counts for Workshop Sessions, so each session fills to the room's capacity and no further.
  • Menu for the coffee bar, with sold-out items flagged.

Each pod or meeting area has its own capacity and run time, so a busy demo doesn't hold up a quiet one. Visitors can hold two places at once, for example a demo pod and a workshop seat, and Cue warns them if both turns could land together.

For visitors

What visitors see

The pass opens in the browser from the badge scan or a QR code on the stand. Visitors see live waits for each demo, the meeting and workshop times still available, and a map of the stand. They carry on around the hall, and a WhatsApp message tells them when their pod is ready or their meeting is about to start.

The pass is available in English and Arabic, and visitors can switch at any time.

For your team

What staff see

Stand staff run each demo pod from the console: call the next visitor, check them in by code and add walk-ups who'd rather not use their phone. Experts see their meetings for the day and who is waiting. If a demo unit needs restarting, staff pause that pod with a reason, and visitors in its line see that their place is kept.

The stand screen shows "Now calling at the stand", the live waits and a QR code to join, which also draws people in from the aisle.

Afterwards

What you get after the show

Insights for exhibitions focuses on leads: badge scans, meetings booked, demo completions and lead quality by company size.

  • Consented leads with what each visitor did on the stand.
  • Joins, waits, no-shows and ratings by experience and by hour.
  • A CSV export of the data you're allowed to keep, or a connection to your CRM set up for your event.
  • Event data deleted on the schedule you set, with written confirmation.

FAQ

Frequently asked questions

All questions

Can visitors join by scanning their badge?

Yes. A badge scan fills in the visitor's name and company. Visitors without a badge can use a short form instead.

Can workshops stop at the room's capacity?

Yes. Workshop sessions can count seats, so each session closes when it's full and visitors can pick another time.

Can we export the leads after the show?

Yes. Consented leads can be exported as a CSV or sent to your CRM, together with what each visitor did on the stand.

What if a visitor doesn't want to use their phone?

Stand staff add them from the console. Cue gives them a short code that appears on the stand screen when it's their turn.
